EMPLOYEE TIME TRACKING AND MANAGEMENT today’s challenges and potential solutions

Published on

The impact of the global pandemic should not be understated, especially when looking at the business environment, and the significant challenges faced by organisations and management on a day-to-day basis. Due to this many businesses have or are thinking about changing their policies and procedures to offset these challenges. This however, creates further issues when considering how to optimise Time Recording or Time Tracking applications.

In terms of payroll accuracy, organisations need to ensure they have reliable and easy to use time data collection methods. These are typically RFID (Radio Frequency Identification) or Biometric time clocks for on-site employees, with alternative methods such as mobile, telephone IVR and PC/Web clocking for those business who need to manage remote and flexible working.

With the probability that more organisations will offer their employees hybrid working arrangements, the need to manage staff remotely will become more prevalent. It’s also important that remote workers are fully engaged and have a positive user experience. Access to self-service data and the use of Mobile Key via smartphone, play an important role in the digital transformation process.

For those organisations reviewing their SAP HCM migration strategy, it’s essential that their core Time Management & Time Evaluation applications deliver long-term investment security. Historically, this has been delivered through sub-systems or third-party partner Time & Attendance applications. Whilst these remain viable solutions, there are other options to consider, including the possibility to fully integrate these core applications directly in SAP (On-Premise or Cloud).

There are several benefits to this approach including the ability to access the application directly via the SAP user interface, minimise training, reduce administration and utilise existing IT infrastructure without the need for additional sub-systems.

Given the scale of these Enterprise applications, partnering with certified providers that can deliver and support across all regions globally, is highly recommended. Accommodating multiple time zones, languages, individual site policies and methods of recording employee’s working hours in one standardised platform, ensures that all data is recorded, validated, and reported accurately. Whether this be simple clocking in & out for payroll or more complex and customisable requirements for labour reporting, accessing this data from a single source has its advantages.

Dependent on the provider, a natural extension of Time Recording is Access Control. This enables all employees to gain secure access to site and this can be supplemented with value-add applications such as Visitor Management and Life Safety (Roll Call). Like Time Evaluation, these systems can be implemented separately or be fully integrated into SAP.

As a globally recognised, SAP certified and co-innovation partner, dormakaba has more than 30 years-experience of delivering these core applications to SAP users worldwide. With our Time Management/Evaluation solution strategy aligned to the future migration of SAP ERP (HCM), we are strongly positioned to support organisations with this transition.
